Identify the actual connection route
Check whether the model supports USB, Ethernet or Wi-Fi. A similar-looking socket or a port for a USB storage stick is not necessarily the computer connection. Use the manual for the exact model and distinguish data connections, power and additional sockets such as fax.
USB may be sufficient for one fixed workstation. If several people need to print without leaving an intermediary computer switched on, a direct network connection may be more convenient. Establish who manages the printer and whether the proposed network permits communication between it and the computers.
Test USB without extra variables
Initially use an appropriate data cable directly between printer and computer where the manufacturer's process allows it. A hub or dock can be added later. This makes the tested connection easier to identify if the first attempt fails.
Some installation tools ask you to connect the cable only when prompted. Follow the specific installation sequence rather than assuming the order is universal. Download any required software from the genuine manufacturer website and match both operating system and model instead of choosing the first similarly named driver.
Check the shared path on a network
The computer and printer need a network route that permits them to communicate. A guest network may isolate devices from one another. Both devices having internet access does not prove that a local print job can travel between them. Ask the responsible administrator when using a managed network.
Record the intended printer name and its network identifier if needed for administration. A network report from the printer can provide useful details but should not be distributed publicly. Avoid broad router or firewall changes merely to make the discovery process find a printer.
Finish with a small real print job
After setup, deliberately select the newly created printer entry and print an unimportant test page. Then try an ordinary document from the application you actually use. A multifunction device may require a separate step to configure scanning.
If several entries for the same model appear, name the intended route clearly and remove unused entries only after checking them. This leaves a future user able to tell whether a job is going to USB, the network printer or an obsolete connection.
